We have an IMMEDIATE opportunity for an Administrative Assistant to provide support for our company at our headquarters office in Brea, CA. Duties and responsibilities include the following:

Assists with a variety of related administrative tasks using discretion and independent judgment in accordance with general direction.
Must have at least an intermediate level knowledge and experience using Microsoft Word to create, type and prepare correspondence, reports, templates, and other written documents.
Must have at least an intermediate level knowledge and experience using Microsoft Excel in order to prepare financial, statistical, narrative and or other reports; as well as creating and maintaining data and spreadsheet files.
Arranges travel plans and itineraries and compiles documents for local travel-related meetings.
Prepares and files business documents with government agencies.
Answers phones in a professional and courteous manner with the ability to handle multi-lines and route calls as appropriate. Requires the ability to learn, maintain and stay up to date with each function of our organization in a fast-paced environment.
Maintains filing systems, creating, organizing, filing, updating, and tracking and retrieving files including project set up.
Checks mailbox and prepares outgoing mail.
Knowledge of modern office equipment such as computers, printers, fax machines, scanners and copiers.
Orders office, kitchen supplies as well as food for events.
Provides administrative support to Chief Operations Officer calendar and schedules appointments.
Arranges conferences, meetings and internal employee events
Runs local errands as needed.
Performs other related duties as assigned.
Understand and performing minor accounting duties including data entries.


Must have minimum of 2-3 years of administrative work experience, preferably in an engineering or architectural office setting.
Must be dependable and have strong organizational skills with ability to multi-task.
Must be proficient in English language, communicating professionally and excellent phone skills.
Have excellent spelling and grammar skills.
Attention to detail in composing, typing, proofing materials and problem solving.
Experience managing budgets and expenses
Comfortable handling confidential information.
Able to set priorities and meet deadlines.
Must be able to interact and communicate with individuals at all levels of the organization.
Able to lift and carry up to 15 pounds.


High school diploma or equivalent is required. Degree in Business Administration is an advantage.
Additional qualifications as an administrative assistant will be a plus.
