The Administrative Assistant is a key contributor to our Hillsboro site leadership team and cross functional product development and operations management teams. The ideal candidate will be resourceful, results driven, and team oriented. Although standard administrative responsibilities are at this position’s core, professional growth and career opportunity will come from collaboration, proactive thinking and actions to improve departmental efficiency.
Specific Deliverables associated with this position include:
Completes a wide range of administrative tasks for the management team which include: facilitating schedules and activities; completing expense reports; composing correspondence that can be confidential and arranging detailed and complex travel plans, itineraries, and agendas
Schedules and facilitates sophisticated meetings using latest information technology, virtual platforms, and resources. This includes but is not limited to, attendee communications, venue management, catering and program material preparation. Meetings could include leadership off-site meetings, customer visits, town hall and team meetings.
Solicits information from multiple sources, and builds creative content to facilitate analysis and presentation in PowerPoint and other platforms. Maintain and coordinates files and records.
Serves as an information source and advisor on policies and procedures to supporting functions.
Composes frequent communications for site distribution and edits confidential and routine documents.
Uses innovative and time-tested methods to drive continuous improvement in practices or processes.
Complete projects, special assignments, other tasks and duties as assigned.
The successful candidate will possess the following combination of education and experience:
Proven success in an administrative or executive assistant role for 3 or more years. Preference given to candidates with exposure to the hospitality industry. Associates or Bachelor’s degree is a plus.
Excellent written and verbal communication skills.
Strong experience in crafting content in Microsoft Office applications, including MS Word, MS PowerPoint, MS Teams and MS SharePoint. Use of virtual platforms such as Teams Live or Webex to facilitate large meetings is a plus.

Ability to prioritize and complete projects and tasks within agreed timeframes
Demonstrated examples of working independently to identify, analyze, and address problems. Proactive in identifying issues and providing creative solutions.
